Summary
This is a practical, delivery-focussed role designed to sit next to the Exec Director of Product and the product team. You’ll own the project management mechanics: plans, milestone trackers, meeting logistics, action follow-up and status reporting. You don’t need to be a product expert, you need to be ruthlessly organised, clear with people, and good at turning decisions into completed tasks.
Key Responsibilities
Maintain programme plans, milestone trackers and RAID logs; ensure accuracy and visibility.
Run meeting cadence: steering, working groups, stand-ups and design reviews; prepare agendas and concise minutes.
Own action logs and follow-ups: chase owners, escalate blockers and close actions.
Coordinate cross-functional deliverables (engineering, legal, commercial, CS, security, sales enablement).
Track contractual/commercial milestones (MSA/PO checkpoints) and flag gating risks.
Prepare clear, succinct status updates and dashboards for the Exec Director and stakeholders.
Support UAT coordination, pilot logistics and customer scheduling for implementation activities.
Facilitate change control processes and keep an audit trail of decisions and approvals.
Improve project templates, meeting standards and hand-offs to Product Delivery PMs / CS as needed.
Ideal Candidate Profile
Experience
At least 5 years’ experience in project or programme support, PMO or delivery coordination, ideally in B2B SaaS or professional services.
Skills
Strong organisational skills: plans, trackers, calendars and follow up discipline
Excellent written and verbal communication; able to prepare concise exec-grade updates.
Comfortable facilitating meetings and driving decisions; calm under pressure.
Proficient with Jira/Confluence (or similar), Google Workspace, spreadsheets and slide decks.
A bias for action: closes loops, escalates early, and documents decisions clearly.
Good stakeholder management: diplomatic, persistent and commercially aware.
Behaviours we value:
Practically minded and detail orientated
Clear, direct communicator who removes friction.
Commercially literate: understands why deadlines matter to revenue and customer outcomes.
Comfortable calling out risk and proposing mitigation.
Key Information:
Duration: 6 Months (FTC or Day Rate)
Salary: £60k – £75k (pro-rata) OR Day Rate: £350 – £500
Extension: While the initial term is 6 months, we will review the requirement for an extension closer to the end date.

About Rotageek
In 2006, two medical doctors and a tech guru got together to answer one question: how could they make better, more flexible, fair rotas in the Accident and Emergency department where Chris (one of those doctors) worked? Fast forward a decade and Rotageek is an award-winning, best-in-class employee scheduling solution that is changing scheduling for good.
